Implementation

How a Glix rollout actually runs

Glix is self-serve, so a small operator can sign up and be running the same evening. Larger rollouts are different: multiple contracts, existing worker data, safety arrangements to evidence and area managers to keep separated. This is the sequence we use, and what each side is responsible for.

We do not publish a fixed timeline. How long a rollout takes depends on the number of contracts, the state of your existing worker data and how quickly responders and managers can be confirmed. We will give you a realistic estimate in discovery rather than a number chosen for a website.

The stages

Nine stages, with the responsibilities written down

Operations team working through their site and rota configuration during rollout
  1. Discovery

We map what you run today: contracts, locations, shift patterns, who needs to see what, and which safety arrangements you must be able to evidence.

    You provide

A conversation with whoever owns the rota and whoever owns compliance.

    Glix provides

A written summary of how your operation maps onto Glix, including anything that does not fit.

  2. Configuration

Clients, locations, services and shift patterns are set up, along with roles, escalation ladders and responder groups.

    You provide

Your client and location list, and a decision on who holds which role.

    Glix provides

The organisation configured and ready for people to be added.

  3. Data preparation

Worker records, certifications and expiry dates are prepared for import, along with any audit templates you already use.

    You provide

A worker list, licence and certificate details, and your existing inspection forms.

    Glix provides

Import templates and a check on what will and will not come across cleanly.

  4. User setup and permissions

Workers are invited and complete their own onboarding. Managers are scoped to the locations they actually run.

    You provide

Confirmation of area manager boundaries and who approves leave.

    Glix provides

Invites issued, roles applied and self-onboarding monitored.

  5. Safety configuration

Check-in schedules, escalation ladders, SMS rungs and responder availability are configured, then tested with real devices.

    You provide

Named responders, their contact details and their working hours.

    Glix provides

Escalation configured and a documented test of the alert path end to end.

  6. Testing and pilot

One contract or one region runs on Glix in parallel with your current process, so problems appear before they matter.

    You provide

A pilot contract and a manager who will give honest feedback.

    Glix provides

Support during the pilot and configuration changes as issues surface.

  7. Training

Short, role-specific sessions: one for workers on the mobile app, one for managers on rota and operations, one for whoever runs audits and reporting.

    You provide

    Attendance from each role.

    Glix provides

Sessions delivered and written guidance your team can reuse for new starters.

  8. Launch

Remaining contracts move across, and the old process is switched off deliberately rather than left running in parallel indefinitely.

    You provide

A launch date and internal communication to workers.

    Glix provides

Migration support and monitoring through the first full rota cycle.

  9. Hypercare and ongoing support

Closer support through the first weeks, then normal support. Configuration keeps changing as contracts are won and lost, and that is expected.

    You provide

A named internal owner for Glix.

    Glix provides

Responsive support, with priority support and an SLA on Enterprise agreements.

Support

What happens after launch

  • Support by email at support@glixapp.com on every plan.
  • Priority support with a service level agreement on Enterprise agreements.
  • Onboarding assistance included with Enterprise, available as a paid service otherwise.
  • Configuration changes are self-serve: new clients, locations, services, audit templates and responders are added by your own administrators.
  • Custom data retention terms and bespoke roles and permissions on Enterprise agreements.

Implementation, data migration, integration work and training are included only where an Order specifically includes them. Anything chargeable is quoted before it starts.

Operations manager and team leader reviewing Glix together before starting a trial

Try it first, then talk about the rollout

Most operators start the trial, set up one contract themselves and only then ask us about moving the rest. Bring your contract list whenever you are ready and we will be honest about what maps cleanly and what needs work.
